Information collected
A report contains its title, description, category, parish, street or landmark, optional postcode, map coordinates and submission time. If you add a photo, that image is stored with the report.
Optional contact details
Your name and email address are optional and available only to authenticated wave.je administrators. They are never included on the public report map. Because the report title and description are public, do not put names, contact details or other identifying information in those fields.
Automated processing
The report title, description, selected category, location and optional photo may be sent to OpenRouter and a model it selects for automated triage and general safety guidance. The separate reporter name and email fields are not sent for this triage. Automated output is advisory and must be reviewed by an administrator.
Who can access reports
For reports submitted after the public notice took effect, the public map shows each non-rejected report's title, category, description and submitted map pin. Older reports remain private. Full reports are restricted to authenticated wave.je administrators. Contact details, photos, references, progress, postcodes and internal fields are not published, and there is no public resident account directory.
Private tracking links
After submission, the service creates a reference and a secret tracking token. Only a cryptographic hash of that token is stored. Anyone holding the complete private link can see limited progress information, so keep it confidential. wave.je cannot recover a lost token.
Rewards and partner benefits
For signed-in reports, an automated rewards check uses the triage result to decide benefit eligibility only. It does not approve a civic report or affect its priority or handling. Partner codes are single-use and encrypted at rest. A partner receives only the code you choose to present; wave.je does not share your report or account details with that partner. Anonymous reports cannot be credited later.
Retention and deletion
This MVP does not automatically delete reports. A formal retention period, deletion process and responsible data controller must be defined before production use. Until then, administrators should remove test data manually and avoid collecting information that is not needed to resolve an issue.
